City Projects Online Project Review

The City of Tallahassee's Growth Management Department (GMD), in its continuing efforts to provide the most efficient and effective service possible, offers access to City Projects, as brought to you by ProjectDox, for electronic submittal and review. We have now released the Type B Site Plan, Land Use Compliance Certificate, Preliminary Plat, and Limited Partition reviews.

What Online Review Means to You

Online submittal and electronic review means reducing the amount of paper necessary for submittal and allows you to submit your application and supporting documentation from the convenience of your office. Upon submittal of an application via the web application portal, you'll receive an email inviting you to log into your personalized secure web account in City Projects, where you can upload your submittal documentation. You will be able to communicate with City staff through City Projects via the "Topics and Notes" blog feature or project e-mail. You will receive automated emails as your project moves through the process and City Projects will be your workspace for resubmittals.

Electronic Submittal of General Application Data

GMD's Records Management staff is available for one-on-one training assistance and can be contacted for this service via email. It may be necessary that you schedule an appointment to meet with our staff for hands-on assistance when applying and uploading documents until you become familiar with the process.

To begin the application process, visit our online application portal at https://cityprojects.talgov.net. You will be prompted to furnish the same information requested from the previous paper applications of the past, including people and contacts. For these individuals you will also be asked to input their email information. All individuals listed with a valid email address will be invited to the project site; therefore, it is important to have them listed initially. After all required information is entered, you will be given an opportunity to review your entries and make any needed changes, prior to submitting the application. Once your submittal is complete, you will receive an email providing your Project Number and a link to the City Projects review site. In City Projects, your first steps will be to create a new account, download components from the link located on the login screen and add the site to your list of trusted sites. As with the initial application process, it may be necessary to have assistance from our staff until you are comfortable with the new submittal process. All submittals and resubmittals to the GMD will be routed through the Records Management office located on the ground floor of the Renaissance Building, rather than Land Use and Environmental Services (LUES) Intake staff. A checklist of required documentation and other documentation including forms can be found on Talgov.com under the City Project Reviews link. At the time of your appointment you should bring all submittal documentation on CD with you to our office. Please note that all files must be named using the naming conventions for the review. A listing of these can be found under each review listed under the "City Project Reviews" link. Any deviations to these will slow or stop the review process. Documentation that requires engineer signatures & seals or notarization should now be done using digital signatures. During your appointment, staff will assist you in uploading all of your documentation and notifying Intake to begin verifying the completeness of the application. Please note that the review will not start until you receive an email from Intake alerting you that the application is complete. Agenda review items submittal deadlines have not been altered and you must have confirmation from the Intake staff that your submittal is complete before the deadline.

As part of the communication process we ask that all email correspondence be completed through the "Topics and Notes" feature, which allows viewing of the communication by everyone who has access to the project. You can expect to receive email updates regarding the progress of your application including exact fee amount, meeting dates, reviewer's feedback, etc.

Completion of Project and Approval Documents

One of the biggest changes with the adoption of City Projects is that you will no longer receive paper stamped copies of your approved plans, certificates or letters. These and all other correspondence will be accessible electronically on the City Projects site. Upon approval of a project, you may print the digitally signed and/or stamped approval documentation located within the project. The City Projects project will remain available for an allotted time as outlined for each review. If the allotted time to access the review has expired, you may obtain a copy from Records Management by completing their online records request form.
