SUBJECT/TITLE: Update City Commission Meeting Calendar
TARGET ISSUE:
STATEMENT OF ISSUE
The meeting schedule for the upcoming calendar year is compiled each fall for adoption by the City Commission. City policy states that regular City Commission meetings are to be held on the second and fourth Wednesday of the month and modifications to this schedule are made when meeting dates conflict with National and Jewish Holidays, Spring Break and Summer Break.
The City Commission adopted the 2009 City Commission Meeting Schedule on September 24, 2008, which includes a regular City Commission meeting on April 29, 2009. On October 22, 2008 the Commission adopted a revised meeting schedule that changed the monthly Target Issue Workshops to quarterly and thereby deleting the April 22, 2009 Target Issue Workshop.
Beginning in May, the Board of County Commissioners (BCC) will resume meeting on Tuesday afternoons. Currently there are two Joint Board of County Commissioners (BCC) / City Commission (CC) Comp Plan Amendment meetings scheduled for May 28 and October 8 that fall on days when the County Commission would not normally meet. County staff has requested that these meetings be moved to a regular County Commission meeting day.
City Commission is requested to approve moving the April 29 meeting date to April 22, 2009 and approve moving the May 28 Joint BCC/CC Comp Plan Workshop to May 26 and moving the October 8 Joint BCC/CC Comp Plan Adoption hearing to October 13.
RECOMMENDED ACTION
Approve Option 1: Approve modification to the current standard City Commission Meeting Schedule, changing the April 29, 2009 regular City Commission meeting to April 22, 2009. Approve moving the May 28 Joint BCC/CC Comp Plan Workshop to May 26 and moving the October 8 Joint BCC/CC Comp Plan Adoption hearing to October 13.

HISTORY/FACTS & ISSUES
The City Commission traditionally adopts the meeting schedule for the upcoming year each fall, which includes regular meetings, target issue workshops, yearly budget schedule, Blueprint 2000 Intergovernmental Agency, Capital Region Transportation Planning Agency (CRTPA), Community Redevelopment Agency (CRA), and Comprehensive Plan meetings. Modifications to the schedule are made to accommodate National and Jewish Holidays, Spring Break and Summer Break.
The City Commission adopted the 2009 City Commission Meeting Schedule on September 24, 2008, which included regular Commission meetings on April 8 and April 29 and a Target Issue Workshop on April 22. Since the April 8 City Commission meeting conflicts with the observance of the Jewish Passover holiday, City Commission approved moving the meeting date to April 7, 2009.Additionally, on October 22, 2008, the Commission adopted a revised meeting schedule that changed the monthly Target Issue Workshops to quarterly. This approved schedule deleted the April 22 Target Issue Workshop and City Commission is requested to approve moving the April 29 meeting to April 22 in it’s place.
Additionally, the Board of County Commissioners will resume holding their County Commission meetings on Tuesday afternoons beginning in May. There are two joint County Commission / City Commission Comp Plan meetings scheduled for May 28 and October 8 that will not take place on a regular County Commission day. County staff has requested to reschedule these two meetings on days when the County Commission would normally meet. Therefore, City Commission is requested to approve moving the May 28 Joint BCC/CC Comp Plan Workshop to May 26 and moving the October 13 Joint BCC/CC Comp Plan Adoption Hearing to October 8.

Option 2 Do not approve a modification to the current standard 2009 City Commission Meeting Schedule and provide alternative direction to staff.
